The enquiry record

The enquiry record is where you view details and manage the status details of the enquiry.

The structure of the page should look familiar if you're already used to using Property Hive, but should also be easy to navigate if you're new to WordPress.

Enquiry subject

The first field is the enquiry subject.

If the enquiry is received through the website we'll default the subject to contain the property address and applicant name.

Tabs

The design of the enquiry record (and records throughout Property Hive) follow a similar format whereby it's separated into intuitive tabs allowing you to jump straight to the section you require.

'Details' tab

The 'Record Details' meta box includes details regarding the status and assignment of the enquiry.

  • Status - Whether the enquiry is open and needs to be dealt with, or is closed and has been addressed.
  • Negotiator - The negotiator that the enquiry is assigned to. Negotiators should exist as standard WordPress users. By default an enquiry will get created as 'Unassigned'.
  • Office - The office that the enquiry the enquiry is assigned to. Offices are managed under 'Property Hive > Settings > Offices'. When an enquiry is received we'll default this to the office that the property is assigned to.
  • Source - Where did the enquiry originate from. Either entered manually by a member of staff, received through the website or, if you have automated feeds to property portals in place and import enquiries, these will be listed here too.

A read-only dump of all the data received in the enquiry. For enquiries made through the website this will be a few fields. For enquiries received via a portal such as Rightmove or Zoopla, there will be a lot of data shown here including details of the enquirer and their requirements, and full details of the property.

In the top-right you'll have one or more actions available. If the contact doesn't exist and we can't find a contact with a matching email address, we'll show a 'Create applicant' button.

If a matching contact does exist you'll be able to click the 'View applicant' button to go to the full contact record, and even book a viewing.

'History & Notes' tab

All key activity on a enquiry can be recorded in the 'Enquiry History & Notes' meta box.

Notes can be added using the 'Add Note' form and pinned using the 'Pin To Top' link.

Any pinned notes will be added to a separate 'Pinned Notes' meta box, visible as soon as you enter the enquiry record to ensure they are seen:
